Competitions - The 20 Minute Process to Presentations

Keep members and players engaged after their round to celebrate the winners by promptly presenting the comp results as soon and as accurately as possible after play.


By refining and preparing a well-documented process for your club, competition results can be ready online and for the presentation to start about 20 minutes after last score has been submitted.


 

Ultimately be prepared and refine these steps and eliminate any old manual paper-based processes as suggested below. Please do make contact with the MiClub Help Desk and engage one of our help and/or product specialists to assist. We are always happy to help.

  1. Leaderboard - Be a leaderboard watcher and review scores regularly on comp leaderboard and find those missing scores from any players. Players do like to enjoy a drink after their round and they may have forgotten to submit scores on their phone or hand-in the scorecard

  2. Prizes - Use a prize template and configure winner and placegetters for field size. Only should need to enter the novelty prize winner names if well prepared

  3. Handicap Upload - Scores are ready for Upload. Don't get stuck if there's one score that won't upload, remove from the upload and then follow-up later.  

  4. Comp Closing - Go through your checklist and produce required reports.

  5. Eclectic - Ensure competition is included in any Eclectics as it updates immediately when competition is CLOSED status

  6. Order of Merit - Allocate points for this competition

  7. Multi-Round - If part of a tournament link today's comp to the correct round


Remember results and leaderboards are the most viewed pages on the club web site. Members are your best cross-checkers and will be quick to help fix any errors in the scores and prizes.



Quick Process for the End of Competition

 

A. Leaderboard - Five Minutes

  • Select Leaderboard
  • Review scores
  • Find players with no scores submitted
  • Add scorecard submitted scores
  • Update Status for No Score Approved or Non Standard Entry
  • If necessary adjust Grades to equally proportion
  • Review Countbacks


B. Prizes - Five Minutes 

  • Review prize winners ie 1st, 2nd 3rd and placegetters
  • Add names for Novelty Winners ie Near Pin, Long Drive etc
  • Select Finalise Prizes
  • Remove any prizes not required
  • Alter value of any prizes


C. Score Upload - Two Minutes 

  • Select Score Upload
  • Check for Invalid GOLF Link numbers
  • Exclude/Update missing scores
  • Upload Scores
  • Review Handicap Changes


D. Close Competition - Three Minutes

  • Select Close Competition
  • Select Results
  • Review Full Field Report
  • Run Extra Reports
    • Presentation Prize Report
    • Handicap Changes Report
    • Visitor Report
    • Group Competition Report for Pairs/Teams Event
  • Print Reports or have on right screen in tablet/laptop
  • Hand to Captain for Presentation


E. Eclectic - Should be automatic when competition closed

  • Select Eclectic
  • Check Competition included in Eclectic
  • Review Scores


F. Order of Merit - Three minutes

  • Select Setup > Order of Merit
  • Select Order of Merit Leaderboard
  • Select competition then Allocate Points
  • Select the Points Allocation Method and apply points
  • Save
  • Review Leaderboard


G. Multi-Round - Three minutes

  • Select Multi-Round
  • Select Month of first round
  • Select Manage Competition of Tournament
  • Select Add Players
  • Select Competition from Drop-Down, change date if more than 4-weeks ahead
  • Review Multi-Round Leaderboard


Step-by-Step Process


    A. Leaderboard - Five Minutes

  • Select Leaderboard
  • Review scores
  • Find players with no scores submitted
  • Add paper card scores
  • Update Status for No Score Approved or Non Standard Entry
  • If necessary adjust Grades to equally proportion
  • Review Countbacks

Go to 'Competition' > 'Competition Listings'.


Click the 'Leaderboard' button on the competition.


Check and confirm all scores are entered and correct. Click the pencil icon on the right-hand side to edit a player's score.


Check that your have the players showing in the correct grades.


Click 'Grades' to adjust the grade separations.


Adjust the starting definitions in each grade and click the 'Save' button and then 'Update' to see the distribution of players in each grade.

Click the cross icon in the top left of the window to close once finished making changes.


    

B. Prizes - Five Minutes

  • Review prize winners ie 1st, 2nd 3rd and placegetters
  • Add names for Novelty Winners ie Near Pin, Long Drive etc
  • Select Finalise Prizes
  • Remove any prizes not required
  • Alter value of any prizes

Click 'Competitions' in the lower menu to return to your competition listings


Click the 'Prizes' button. (Skip this step if you do not allocate prizes)


Click the 'Edit Prize Rules' button to create or edit the prize rules being used for this competitions.

Click the 'Finalise Prize Rules' button once you have allocated all your prizes.


Click the 'Yes' button.


Prize amounts can be adjusted by the pencil icon on the right-hand side. Individual prizes can also be deleted by cross button on the right-hand side.


Click the 'Post Prizes' button if you send prizes to member prize accounts in MiClub/OneGolf or to an external system. 


Skip to the next step if you just allocate prizes for the purpose of producing them on a results report.

    

C. Score Upload - Two Minutes

  • Select Score Upload
  • Check for Invalid GOLF Link numbers
  • Exclude/Update missing scores
  • Upload Scores
  • Review Handicap Changes

Click 'Competitions' in the lower menu to return to your competition listings


Click 'Score Upload'.


Review all players in the 'Scorecards will be sent to Golflink' section. Players can be excluded from handicapping by clicking the minus icon on the right-hand side.


Click the 'Upload Scorecards' button.


Click the 'Proceed with Upload' button.


Wait on the loading screen until handicap revisions have been returned from Golflink.


It is usually 10 minutes until these rounds show in player's handicap history on the Golf Australia website.


    

D. Close Competition - Three Minutes

  • Select Close Competition
  • Select Results
  • Review Full Field Report
  • Run Extra Reports
    • Presentation Prize Report
    • Handicap Changes Report
    • Visitor Report
    • Group Competition Report for Pairs/Teams Event
  • Print Reports
  • Hand to Captain for Presentation


Click Competitions in the lower menu to return to your competition listings


Click 'Close Competition'.


Click the 'Continue' button.


Click the 'Results' button on the competition.


Create reports by selecting the report from the drop-down menu and click the 'Create Report' button.


Popular reports that get generated are:

- Full Field Report

- Graded Field Report (If there are multiple grades on the day)

- Presentation Prize Report

- Prizes Only


Click 'Open' on the right-hand side of the report to show the report. You can print the report by using the ctrl + P keys on your keyboard.



These reports can also be viewed by members through their member portal by clicking the 'Results' status of the timesheet.


Click Competitions in the lower menu to return to your competition listings


The end-of-day process has now been completed.


Note: Scores in eclectics will update within a couple of minutes once the competition is closed and was selected to count towards.


E. Eclectic

  • Will update automatically when competition status is CLOSED
  • Select Eclectic
  • Check Competition included in Eclectic
  • Review Scores
