Closing a Competition Checklist

Recommended End-of-Day Competition Procedure

Closing a competition is the final stage of daily competition management. Before closing, administrators should ensure all scores have been received, competition results are accurate, prizes have been allocated and handicap processing has been completed.

MiClub provides several processes that should be completed in a recommended sequence to ensure that prize allocations and revised handicaps are included on the final competition results sheets.

Importantly, much of the preparation can be completed before the competition is formally closed.

Stage 1 – Pre-Closing Checks

Before commencing the finalisation process, complete the following checks.

1. Validate All Competition Scores

Confirm that all expected player scores have been received and processed.

  • Check for outstanding or incomplete scorecards.

  • Confirm MiScore submissions have been received.

  • Enter or correct any outstanding manual scorecards.

  • Review withdrawals, no returns and disqualifications as applicable.

  • Verify that players are registered in the correct competitions.

  • Review competition leaderboards for any unexpected results.

Check: All scores should be accounted for and any scoring discrepancies resolved before proceeding with finalisation.

2. Review Prize Allocation Setup

Before finalising prizes, confirm the competition's prize allocation settings are correct.

  • Check the applicable prize allocation rules.

  • Confirm prize values and positions.

  • Review divisions and prize eligibility.

  • Check any additional or in conjunction competitions.

  • Confirm the intended prize recipients and allocations.

Check: Prize settings can be prepared and reviewed before closing the competition, reducing the risk of incorrect allocations.

Stage 2 – Recommended Competition Closing Sequence

Once the pre-closing checks have been completed, follow these four steps in order.

Step 1 – Finalise Prizes

Finalise the competition prize allocations based on the validated competition results.

This process should be completed first so that prize allocations are available for inclusion on the competition results sheets when they are generated.

Confirm that winners, placegetters and any additional prize recipients are correct.

Step 2 – Handicap Competition

Complete the competition handicapping process to submit the applicable scores for handicap processing.

Handicapping should be completed before closing the competition so that revised player handicaps can be displayed on the final competition results sheets, where applicable.

Check that the handicapping process has completed successfully and review any exceptions requiring attention.

Step 3 – Post Competition Prizes

Post the finalised competition prizes to the applicable prize accounts or ledger.

This step is relevant to clubs that:

  • Have competition prizes linked to members' accounts.

  • Use the MiClub Golf internal prize ledger to manage competition prize balances.

Posting prizes ensures the finalised allocations are recorded through the club's configured prize management process.

Check: Confirm prize allocations are correct before posting to avoid unnecessary account or ledger adjustments.

Step 4 – Close Competition

Once prize finalisation, handicapping and prize posting have been completed, proceed to close the competition.

Closing the competition generates the final competition results sheets, incorporating the relevant prize information and revised handicap details from the preceding processes.

Review the generated results sheets before publishing or distributing them to members.

Recommended Closing Workflow

Before Closing

  • All expected scores received and validated

  • Outstanding scorecards and scoring exceptions resolved

  • Competition results and rankings checked

  • Prize allocation settings reviewed

Finalisation – Complete in This Order

  • 1. Finalise Prizes – Make prize allocations available for results sheets

  • 2. Handicap Competition – Process scores and make revised handicaps available

  • 3. Post Competition Prizes – Record prizes against applicable member accounts or the internal prize ledger

  • 4. Close Competition – Generate final competition results sheets

Competition Best Practice

  • Don't close too early: Confirm all expected scorecards have been received before commencing the finalisation process.

  • Prepare prizes in advance: Prize allocation settings can be reviewed before the last players finish their rounds.

  • Follow the correct sequence: Finalise prizes and handicap the competition before closing to ensure the relevant information is available for the results sheets.

  • Finalise before posting: Check prize allocations carefully before recording them against member accounts or the internal prize ledger.

  • Review the generated results: Check the final competition sheets for correct rankings, prize allocations and revised handicaps.

  • Establish a consistent routine: Use the same closing sequence for every competition so that all Golf Shop and Competition Administration staff follow a standard procedure.

Finalise Prizes → Handicap Competition → Post Competition Prizes → Close Competition

Following this sequence ensures that prize allocations and revised handicaps are available when the final competition results sheets are generated, while maintaining a consistent and reliable end-of-day administration process.

Remember: Closing the competition should be the last step, after all scoring, prize and handicapping processes have been completed and checked.
